The Volunteer Parent - HW Update

Good morning:)

I wanted to give yall an update this morning on our First Top Picks from the PTO Expo – Harlem Wizards Fundraiser Show.

This last Thursday, I sat down with your AD and we talked about what it’d take for us to put this together. The last time we spoke, he said I should do it for the swim team because it’d be a great fundraiser (I was heart was dancin’ at this prospect!).  Thursday, when we sat down to look it over and look at the specifics of what we needed it wasn’t as easy as I thought it would be for us.

Making Money Selling Butter Braids

Volunteer Parent - Butter Braids

One of our best fundraisers last year was with Butter Braid. I had actually never had their product before but our dance studio sold them in the past and they were very successful. One of the dance moms asked if anyone was selling them so I grabbed the chance and set one up for our swim team.  

I have always wanted to keep swim as cheap as possible for our team. I wanted to give the kids a chance to help their parents so whatever each of our team members sold, the profit would go into their own account. They could put their portion towards their team suit or they could put it toward their summer swim camp tuition. The way Butter Braid works makes it very easy to see what each swimmer earned.

Things to Consider

I love planning events. I love coming up with new ways to reach a goal — and that’s the easy part. The hard part is figuring out if that idea is going to actually be beneficial, and if it is, what is the best time to make a go of it.  Here are some observations that I’ve made over the years. Some are obvious some may not hit you until afterwards. But as they say, ‘Hindsight is 20/20”.

Find out your competition. Is there someone else you will be competing against for the funds?  Recently, I came up with, what *I* thought was a fabulous idea to make a little extra money for swim team.

How To Get Volunteers

Finding volunteers is not always easy.  A lot of times people see volunteering as a ‘black hole’ from which they will never emerge.  And sure, that can happen… I’m not going to lie.  However, trying to find that balance so they don’t always feel like they ‘have’ to help is crucial. I’m going to go through the different ways that I find my volunteers. I hope this is helpful to you.

At the beginning of each school year, we have a table set up for the PTC.  I have a form made up for the different positions we are looking to fill. Everything from ‘chairpersons’ to ‘just call’ for each event/spot we have available. Some people will check everything and some will just check one small event as a helper.  (Be grateful for every bit of help you get.) I have been lucky with volunteers. Most of mine have been along for the ride with me since my oldest was young. One year, we gave really cute tote bags with our school name and mascot on it away to people who signed up.  This next school year, I believe I am going to set up a coffee and tea service to entice people to visit our table:) People love coffee and freebies:)

Hello, my name is Kathryn. It’s very nice to meet you!

First of all, I am a people person.  I am from the south and boy do my roots and heritage run deep. I love to help. I love to feed. I love to visit and get to know people. I. Love. People.

I grew up in a town where no one locked their doors. We basically would walk in the back door hollering “yooo hoo!!”. I mean if someone came to the front door and knocked… well, you knew for certain, it was somebody you didn’t know.  My parents were keen volunteers when it came to our community and children. I could go on and on about their contributions but that would not do justice for how much they have given back.  I am proud to say, I believe that my love for helping comes directly from them:)
